In LeanLaw, go to the Billing page and select Manage Invoices. Any invoices sent to QuickBooks Online will be listed here.
You can filter the invoices in various ways. If you're having trouble locating an invoice, try adjusting these filters:
Time Period: Display invoices from a specified date range.
Matters Involving: Filter invoices to show only those related to clients/matters that a particular user is associated with or responsible for.
Client: View invoices for a specific client.
Matter: View invoices for a particular matter.
State: Filter invoices by status: unpaid ("Not Paid"), overdue ("Overdue"), or fully paid ("Paid"). The default view shows open invoices, but you can view all invoices by selecting the "x" in the filter.
Delivery Status: Review invoices based on their delivery status—whether they need to be emailed or printed, or if they have already been delivered.
Trust Accounts: View invoices for clients who have a balance in their trust accounts.
Invoice Functions
You can manage invoices individually or in bulk. For individual options, simply click the "triple dot" dropdown menu located to the right of each invoice.
Various functions are accessible based on the specific invoice and client. For instance, the option "Pay from Trust" is only enabled when the client has trust funds.
At the bottom of the invoice list, you'll find bulk functions. You can select all or specific invoices, and then click a button to perform bulk actions.
Example: To email all invoices - Select them all, then click the dropdown next to "Deliver" then select "Email".
How to Record a Payment: Cash, Check, or Credit Card
To record a payment made via cash, check, or credit card, ensure you're on the Manage Invoices tab on the Billing tab in LeanLaw and have at least one invoice prepared for billing. You can then click the three horizontal dots next to the desired invoice and select Record Payment.
Tip: You can click the checkboxes to the left of multiple invoices, click the down arrow to the right of the Pay button, and select Record Payment.
Note: You can only pay multiple invoices if they are for the same client or the same matter. Matter-based invoices cannot be processed in bulk payments, even if you receive a single check from a client for multiple invoices.
Clicking Record Payment will launch the QuickBooks Payment window. Next, use the dropdown menu under Payment Method to choose your payment option: cash, check, or credit card.
You can specify a date for the payment received, add a reference for your records, and either keep the Amount as is to document a full payment or adjust it for a partial payment. Once you're ready to finalize the payment, click the green Pay button.
You now have a cash, check, or credit card payment recorded in both LeanLaw and QuickBooks Online!
