Add the Custom Field to QuickBooks Online

To add your File/Matter # to QuickBooks Online as custom field is available on QuickBooks Online Essential and Plus.

We asked Laurette Clash, one of our first LeanLaw Accounting Pros to help us explain how to add your File/Matter # to QuickBooks Online as custom field.  Thank you, Laurette!

To establish custom fields, takes a few trials and errors.  Please note that you need either the Essentials or Plus version of QuickBooks online to use this feature.  After reading these instructions you think this is too hard, please reach to to LeanLaw and we will assist in setting this up for you.  

Step One: In LeanLaw

  1. Select settings

  2. Select Invoice Presentation

  3. Above Custom invoice field, the option should be NO.  No means the format will default to QuickBooks

  4. Select Save Changes

Step Two: In QuickBooks

  1. Select the Gear icon in the right hand corner.

  2. Select Custom Form style

  3. Select your Form

  4. Select Content

  5. Select Pencil icon in the top section of the invoice.

  6. On the left side, select custom field and two empty fields will appear.

  7. In the large field, record File/Matter # and then, click the small box and check will appear

  8. Select Done

Step Three: In Leanlaw

  1. Select settings

  2. Select Invoice Presentation, stroll to the Custom invoice field section and the custom field from QuickBooks will display.

  3. Under QuickBooks Field and under Map to, select the appropriate option (i.e. Client/Matter ID or Originating Attorney).

4. Save.

Step Four: QuickBooks Online

  1. Select the Gear Icon

  2. Select Custom Form style

  3. Select Content

  4. Preview PDF to view client invoice.
