User Management in LeanLaw: Overview

LeanLaw’s User Management tools allow you to control who has access to your system, what they can do, and how they interact with matters, billing, and reporting.

This guide provides a high-level overview of how user management works in LeanLaw and where to go for specific tasks.


Where to Find User Settings

To manage users:

  1. Click the Settings ⚙️ icon in the top-right corner

  2. Select Users from the left-hand menu

On the Users page, you’ll see all users in your firm, organized into:

  • Active Users – Users who currently have access

  • Inactive Users – Users who have been disabled

Click on any user to open their profile.


Understanding the User Panel

When you select a user, their profile opens in a slide-in panel on the right side of your screen.

This panel is where all user-related settings are managed and is organized into three main tabs:

Details

Use this tab for:

  • Name and email

  • Role and permissions

  • General account settings


Rates

Use this tab to:

  • Set or update a user’s standard billing rate


Advanced

Use this tab for:

  • User status actions (disable, re-invite)

  • Feature-specific settings (if enabled)

  • Custom fields


Common User Management Tasks

Invite a New User

  • Go to Settings → Users

  • Click Invite User

  • Enter required details and send invite


Update a User’s Role or Permissions

  • Open the user profile

  • Go to the Details tab

  • Update the role

  • Save changes


Adjust a User’s Billing Rate

  • Open the user profile

  • Go to the Rates tab

  • Enter or update the rate

  • Save changes

Disable or Re-Invite a User

  • Open the user profile

  • Go to the Advanced tab

  • Select the appropriate action

Disabled users will appear under the Inactive Users tab.


Manage Custom Fields for Users

  • Open the user profile

  • Go to the Advanced tab

Custom fields allow you to store additional user-specific data.

User management in LeanLaw is built around a few key concepts:

  • Users – Individuals with access to your system

  • Roles & Permissions – What users can see and do

  • Rates – How users are billed

  • Status – Whether a user is active or inactive

  • Custom Fields – Additional data specific to your firm

Each of these components works together to help you manage your team efficiently.


Best Practices

  • Assign roles carefully to control access and reduce errors

  • Set a standard rate for each billable user

  • Regularly review inactive users to manage access and billing

  • Use custom fields to track firm-specific information
