How to Use the Track Sent Emails Page in LeanLaw

The Track Sent Emails page shows the delivery and engagement status of invoices and trust requests sent from LeanLaw.

You can quickly confirm whether an email was delivered, opened, clicked, or if there was an issue — all in one place.


Where to Find It

  1. Go to Billing

  2. Select Track Sent Emails from the left menu

You’ll see a searchable list of invoice and trust request emails sent from your firm.


What You’ll See

Each row represents one sent email.

Columns include:

  • Client – The associated client

  • Message – The email subject line

  • From – The sending address for your firm

  • Type – Invoice or Trust Request

  • To – Number of recipients (click to expand and view addresses)

  • Status – Delivery/engagement status

  • Sent Date – Date the email was sent

Use the search bar and filters at the top to narrow results.


Understanding Email Statuses

The Status column shows the current state of the email. Common statuses include:

  • Sent – Email successfully sent

  • Delivered – Delivered to the recipient’s mail server

  • Opened – Email was opened

  • Clicked – A link (such as the invoice link) was clicked

  • Mixed – Multiple recipients with different statuses

  • Bounced – Email could not be delivered

  • Dropped – Email was not sent due to a suppression or delivery issue

“Opened” depends on the recipient’s email settings. Some systems block tracking, so an email may be viewed even if it does not show as Opened.

Filtering Your Results

Filters at the top of the page allow you to narrow results by:

  • Original Sent Date

  • Invoice Status (Unpaid, Partially Paid, Paid)

  • Client

  • Matter

  • Type

  • Show Matters Involving (Responsible or Originating attorney)

Filtering is especially helpful when reviewing unpaid invoices or preparing to send reminders.


Why Isn’t My Invoice Showing?

If you know an invoice was emailed but it does not appear on the page, check your Status filter.

By default, the filter may be set to Unpaid.

If the invoice is:

  • Partially Paid, or

  • Fully Paid,

it will not appear unless you adjust the filter.

How to Fix It

  1. Locate the Status dropdown at the top of the page.

  2. Select Partially Paid, or

  3. Clear the filter to display all statuses.

In many cases, if an invoice does not appear, it is due to filtering — not a delivery issue.


Sending Invoice Reminders

You can send reminders directly from this page.

  1. Select one or more invoices using the checkbox.

  2. Click Send Reminder.

Reminders are available for eligible unpaid invoices.

Troubleshooting Tips

Client says they didn’t receive the invoice?

  • Check for a Bounced or Dropped status.

  • Expand the To column to confirm the email address.

  • Verify the client’s contact email in LeanLaw.

Email shows Sent but not Opened?

  • The recipient’s email security settings may block tracking.

  • Lack of an “Opened” status does not always mean it wasn’t viewed.
