When setting up a Fixed Fee in LeanLaw, it is essential to understand the various fields available.

Fixed Fee Templates

  • Allows you to select a pre-configured fee template.

  • Useful for standardizing fixed fees across multiple matters.

  • If left blank, you can manually enter details.

Amount

  • Specifies the total fee for the matter.

  • Enter a value based on the agreed-upon fee with the client or what is standard for your firm.

Recurring

  • Defines how often the fixed fee will be applied.

  • Options include Bill Once (one-time charge) or recurring schedules.

NOTE: Completion Based Fixed Fees cannot be recurring.

Billing Type: On a Specific Date vs. On Completion

  • On a Specific Date: Associates the fee with a scheduled billing date.

    • Requires selecting a specific date in the "Next Date" field.

  • On Completion: Fee is manually marked as complete before billing.

    • Ideal for cases where the billing timeline is uncertain.

Invoice Description

  • The text entered here will appear on the client’s invoice.

  • Provides a brief summary of the service associated with the fixed fee.

Label

  • An internal reference field to categorize or name the fixed fee.

  • Helps differentiate between multiple fixed fees within a matter.

Hour Limit

  • Optional field to specify a set number of hours associated with the fixed fee.

  • If exceeded, additional hours may be billed at the hourly rate specified on an additional field called Limit Rate.

Invoice User

  • Identifies the team member responsible for the fixed fee on the invoice.

  • Default selection can be adjusted as needed.

Actions: Creating and Canceling a Fixed Fee

  • Create Fixed Fee: Saves the fee and applies it to the matter.

  • Cancel: Discards the changes without saving.

Understanding these fields ensures accurate fee tracking and a streamlined billing process in LeanLaw.
