Overview
The Productivity by Client & Matter, and User reports help track billed, ready-to-bill hours, and expenses while analyzing written-down hours and amounts. These reports are useful for assessing whether the time spent on matters aligns with what is expected for the client or user, ensuring effective fee structures and resource allocation.
Additionally, LeanLaw provides a My Productivity report, allowing individual users to track their own time and billable performance.
Why Use These Reports?
These reports are essential for:
Comparing billable outcomes by client, matter, and user.
Evaluating write-down hours to see adjustments made to billed time.
Assessing the efficiency of fixed fee arrangements, especially when high non-billable hours are involved.
Tracking total hours, fixed fee hours, billable values, and expenses.
Identifying discrepancies between attorney rates and actual billed amounts.
Tracking individual productivity using the My Productivity report, which is specific to the user accessing it.
Key Features
Filters & Pre-Selected Time Ranges
Breakdown by Client, Matter, and User
View total hours, billable values, and write-downs.
Identify if too much time is spent on fixed fee matters without sufficient billing.
User-Specific Filtering: The Productivity by User report allows you to view time entries by individual users.
My Productivity Report: Displays time tracking for the user accessing it, providing insights into their own billable and non-billable work.
Filtering by User Involvement
Shows matters worked on by any user within the selected time period, regardless of their role.
The User Productivity Report does not filter by matter, focusing only on the user’s tracked time.
The My Productivity Report helps attorneys assess their own performance and time allocation.
Practice Area Filter
If your firm uses practice areas, filter results accordingly.
Tracking Unassigned Entries
Easily identify unassigned expenses and time entries that need proper categorization.
Show Matters Breakdown: Click "Show Matters" to break down by matter and client.
Time Zone Consideration
Reports generally operate on UTC time. If a time entry appears missing, extend the time range by one day to accommodate for time zone differences.
Viewing & Exporting Reports
Drill-Down Navigation: Click a client, matter, or user to see the full breakdown of tracked hours, values, and write-downs. Once inside a report, you can navigate back using the back arrow at the top to return to the previous view without losing your place.
User-Specific Reports:
The Productivity by User report helps track time for individual timekeepers, without a matter filter.
The My Productivity report is personal to each user and tracks only their logged hours.
Print Reports: Uses browser print settings; adjust layout and scaling as needed.
Export to CSV: Download report data for further analysis.
Search Function: Use the search bar (top right) to find a specific client, matter, or user.
Troubleshooting
If the report does not load properly, takes a long time to load, or filters are not working, try the following:
Clear your cache and cookies: Helps resolve display and filter issues.
Consider the volume of data: Large client/matter lists and time entries may slow down loading.
Update your browser: Ensures compatibility and smooth performance.
Check your cache history: Old cache data can slow down loading speeds.
Ensure correct report selection: If looking for a breakdown by matter, use the Client and Matter report; for timekeeper tracking, use User Productivity; for individual tracking, use My Productivity report.
