Overview

The Billable by Client and Matter report helps you track billable and non-billable hours, fixed fees, and expenses associated with your clients and matters.

This report can help firms and professionals ensure accurate invoicing, monitor work in progress hours, and assess financial performance. The report also allows users to filter data by date range, client, practice area, and billing status, making it easier to review time entries and the value of the time.

This guide explains how to use filters, interpret the data, and export reports efficiently.

Key Features

  • Billable vs. Non-Billable Time

    • Billable Hours: Hours charged to the client.

    • Non-Billable Hours: Tracked hours not charged to the client but still included in reporting.

  • Fixed Fee Hours: Tracks hours worked against fixed fee arrangements.

  • Expenses & Totals: Includes expenses and total amounts billed.

Quick Access

  • Use pre-populated report links for monthly or year-to-date views.

  • Adjust filters after opening the report for additional customization.

Using Filters

You can filter reports by:

  • Client and Matter: Narrow results to specific cases.

  • Time Period: Choose from pre-set periods (e.g., this month, last year) or set a custom date range.

  • Show Billed Filter:

    • Billed: Time entries included in an invoice.

    • WIP (Work in Progress): Time entries not yet invoiced.

    • Draft: Entries in an invoice that is in draft status.

  • Practice Area: If your firm organizes matters by practice areas, this filter helps segment data.

  • Archived Matters: Include archived matters for a complete view.

  • Breakdown by Matter: Clicking "Show Matters" gives a more detailed client-by-matter view.

  • Search Function: Use the search bar to locate specific clients or matters.

Reference the available filters on the left-hand section of the Billable report.

Time Zone Consideration

  • Reports generally operate on UTC time. If a time entry appears missing, extend the time range by one day to accommodate for time zone differences.

Viewing & Exporting Reports

  • Print Reports: Uses local browser settings for printing.

  • Export: Download the report as a .CSV for further analysis.

Drill-Down Features

  • Click on a client or matter name to view detailed time entries, expenses, and invoices.

  • Navigate back using the back arrow next to the client name.

  • Filters do not persist when navigating back; they must be re-applied.

Troubleshooting

If the report does not load properly, takes a long time to load, or filters are not working, try the following:

  • Consider the volume of data: If you have many clients, matters, and time entries, the initial report load may take longer as it processes all data.

  • Update your browser: An outdated browser may affect report functionality.

  • Check your cache history: If you haven't cleared your cache in a while, it may slow down loading times.
