Draft printing improvements

Before this month, if you printed a draft invoice, it would open a Print Preview window. This method of printing had the benefits of letting you quickly review what you were printing before saving or printing the drafts, but it also had drawbacks. Some users could see strange formatting issues due to different settings. Others with older computers had problems processing larger drafts.

Now, when you print draft invoices, your drafts will be directly made into a .pdf with a fixed format. Because all of the processing is done on our end, users with limited computing power should also be able to print more and larger invoices without encountering memory problems.

(Beta) Completion Based Fixed Fees

We're introducing a new way of creating fixed fees to streamline the billing process for fixed fee matters. This new feature empowers LeanLaw users to effortlessly track time entries associated with fixed fees on a matter. With the ability to create fixed fees that are completion-based, users gain unprecedented flexibility and accuracy in managing their billing processes.

The Completion-Based Fixed Fee Billing feature offers three key functionalities that transform the way legal professionals handle their billing:

  • Creating Completion-Based Fixed Fees: Legal firms can now create fixed fees that don't have a known end date from the start. This empowers legal professionals to adapt to the dynamic nature of their work, ensuring that fees accurately reflect the completion of tasks or projects. Instead of a date-based fixed fee, users can now create an "On-Completion" fixed fee that will remain hidden from Ready to Bill until your firm marks it complete.

  • Tracking Time Entries Against Specific Fixed Fees: LeanLaw's new feature allows attorneys and timekeepers to seamlessly track time entries against specific fixed fees, offering granular insights into resource allocation and facilitating more accurate billing. With this enhanced visibility, legal professionals can monitor progress and identify areas of improvement.

  • Flexible Allocation of Time Entries: Completion-Based Fixed Fee Billing enables attorneys and timekeepers to easily switch and assign time entries to different fixed fees. This capability ensures that billing remains accurate and aligned with the evolving needs of the legal matter.

(Beta) Rate Groups

LeanLaw's new Rate Group feature is designed to empower firms to efficiently handle the complexity of rate management, saving valuable time and streamlining workflows.
Managing rates in a firm with multiple attorneys has long been a complex and labor-intensive process. Manual work for common tasks such as opening a new client/matter, adding a new user, or updating firm rates yearly has proven to be time-consuming and prone to errors. Recognizing these challenges, our dedicated team has developed the game-changing "Rate Groups" feature to address these pain points head-on.


"Rate Groups" provides users with the ability to set standard groups of legal rates, which can be effortlessly applied to any time entered into the system. With this feature, firms can configure multiple rates and specify which standard rates apply to specific clients and matters, as well as define date ranges for the rates to be in effect. The result is a comprehensive and intuitive solution that simplifies rate management across the organization.


Key Benefits of "Rate Groups" include:

  • Streamlined Workflow: By automating common rate management tasks, such as setting individual rates for each user or updating rates for multiple matters, "Rate Groups" significantly reduces manual effort, allowing billing administrators to focus on more strategic activities.

September 27, 2023

  • Fixed an issue where the Auto Assign to Matters user permission did not give a user access to all clients and matters on timers.

  • Fixed an issue where the the UI made it look as if users could delete Rate Groups while they were still in use.

September 26, 2023

  • When a firm has No Payment Links in Memo enabled (this is enabled by default) payment links will now be created in the moment that an invoice is emailed, instead of the moment that the invoice is created in QuickBooks Online.

  • Fixed an issue where Enforced Rounding was triggering even while firms didn't have Enforced Rounding enabled.

  • Fixed an issue where duplicate matters would sometimes be created in Gravity Legal when creating payment links for matters set to matter-accounting.

  • Removed the 2 and 3 year options from the Subscription page.

  • Fixed an issue where duplicating a rate group would fail to refresh the page due to a silent error.

  • Fixed an issue where all Archived and Last Activity dates on the Matter Activity report appeared as 01/01/01.

  • Fixed an issue that prevented multimatter draft invoices from being approved, instead triggering an error related to custom fields.

September 14, 2023

  • Added the ability to filter the Time Entries page by This Year.

  • Removed the ability to sort the Clients page's data by Responsible. This function was resource-heavy and not very productive anyway, because clients can have so many responsible users via multiple matters. We encourage users to instead use the Show Matters Involving filter while selecting the Responsible checkbox to view clients by their responsible users.

  • Added Expenses and Fixed Fees to the "Add Matter Name to Description" setting found in the Invoice Presentation page of firm settings. Previously, this setting only supported time entries.

  • Added a more user-friendly error message for when a user tries to accept an invite to LeanLaw that has already been accepted.

  • Removed the 2 and 3 year subscription options in preparation for new upcoming subscription plans.

  • Fixed an issue where the Combine Time Entries For Same Day setting could cause time entries to be rounded to a value that QuickBooks wouldn't accept (required rates that ended in odd cent values).

  • Fixed issue where custom fields would disappear on edited invoices.

  • LEDES files' "BILLING_START_DATE" and "BILLING_END_DATE" will now use whatever the Time Period was set to on the Ready to Bill page when the draft invoice was created.

  • Optimized the code used when creating LEDES files, which should fix some issues encountered when trying to make LEDES files from very large invoices, or large batches of invoices.

  • Fixed performance issue related to recurring fixed fee.

  • Improved performance in more areas of the product where custom fields are used.

  • Improved performance on the Ready to Bill page in firms that have LeanLaw custom fields enabled.

  • Fixed an issue where edits to an expense synced from QuickBooks would not trigger an automatic refresh of the Expenses page, which made it look as though the edits had not been saved.

  • Improved instantiating of httpclient to reuse ports where they weren't being reused previously. This should result in improved performance across the product--especially during times of high traffic.

  • Fixed an issue when printing multiple invoices where fees and expenses wouldn't appear on the cover sheet if the invoice amount had been changed after the invoice went to QuickBooks, such as by taxes or discounts.

  • Fixed an issue where the Billing Activity page sometimes wouldn't show invoice totals that had been changed by things like taxes or interest line items.

  • Fixed an issue that caused recurring fixed fees to create duplicate fixed fees on recurrence.

September 2, 2023

  • The Send to QuickBooks function within distributions will now create a bill labeled "DIS" followed by a timestamp in the MM/DD/YY HH:MM:SS format. This will allow users to send multiple distributions to QuickBooks in the same day, even if they have protections in place to block duplicate bill names.

  • Fixed an issue where opening a distribution would crash if the user deleted its only payment(s) from QuickBooks. Now, the distribution will open and show that there are no payments in the distribution.
