What’s new in LeanLaw this month?

(Beta) Completion Based Fixed Fees

We're introducing a new way of creating fixed fees to streamline the billing process for fixed fee matters. This new feature empowers LeanLaw users to effortlessly track time entries associated with fixed fees on a matter. With the ability to create fixed fees that are completion-based, users gain unprecedented flexibility and accuracy in managing their billing processes.

The Completion-Based Fixed Fee Billing feature offers three key functionalities that transform the way legal professionals handle their billing:

  • Creating Completion-Based Fixed Fees: Legal firms can now create fixed fees that don't have a known end date from the start. This empowers legal professionals to adapt to the dynamic nature of their work, ensuring that fees accurately reflect the completion of tasks or projects. Instead of a date-based fixed fee, users can now create an "On-Completion" fixed fee that will remain hidden from Ready to Bill until your firm marks it complete.

  • Tracking Time Entries Against Specific Fixed Fees: LeanLaw's new feature allows attorneys and timekeepers to seamlessly track time entries against specific fixed fees, offering granular insights into resource allocation and facilitating more accurate billing. With this enhanced visibility, legal professionals can monitor progress and identify areas of improvement.

  • Flexible Allocation of Time Entries: Completion-Based Fixed Fee Billing enables attorneys and timekeepers to easily switch and assign time entries to different fixed fees. This capability ensures that billing remains accurate and aligned with the evolving needs of the legal matter.

(Beta) Rate Groups

LeanLaw's new Rate Group feature is designed to empower firms to efficiently handle the complexity of rate management, saving valuable time and streamlining workflows.
Managing rates in a firm with multiple attorneys has long been a complex and labor-intensive process. Manual work for common tasks such as opening a new client/matter, adding a new user, or updating firm rates yearly has proven to be time-consuming and prone to errors. Recognizing these challenges, our dedicated team has developed the game-changing "Rate Groups" feature to address these pain points head-on.


"Rate Groups" provides users with the ability to set standard groups of legal rates, which can be effortlessly applied to any time entered into the system. With this feature, firms can configure multiple rates and specify which standard rates apply to specific clients and matters, as well as define date ranges for the rates to be in effect. The result is a comprehensive and intuitive solution that simplifies rate management across the organization.

  • Fixed an issue that could cause the Update WIP button, found in a matter's Billing & Rates page, to fail.

  • Fixed an issue that caused the Custom Field page to not load for some QuickBooks Online customers.

August 28, 2023

  • Added the ability to create clients with matters through our graphql API.

  • Added padding to the bottom of the Edit Rate Group window to increase the visibility of the text in the last row.

  • Fixed an issue where the Billing & Rates tab sometimes wouldn't refresh the page when the user saved changes, causing the page to appear as if the changes hadn't saved.

August 25, 2023

  • Added short codes to the desktop tracker version of LeanLaw.

  • Optimized the retrieval of invoice PDFs from QuickBooks to make it easier to print invoices with hundreds of line items.

  • Fixed an issue where, when Live Trust was enabled and a invoice of $0 was emailed with an evergreen replenishment request, the payment of that replenishment request would not create a trust deposit in QuickBooks.

  • Improved performance on the Reports page while Advanced Reports is enabled.

  • Fixed an issue where the Search function on the Clients page didn't work while Show Clients Without Matters was checked.

  • The New Rate Group button will now be disabled until someone in the firm switches on Rate Groups.

  • Added a tooltip to the Account Summary balance on Receivables reports to clarify that the number comes from the customer in QuickBooks and is not necessarily a total of aging invoices created in LeanLaw.

  • Added text to the billing overrides found in the QuickBooks tab of all matters, clarifying which values it overrides and that it will not override billing preferences for invoices containing more than one matter's billables.

  • Fixed an issue where firms with our embedded reporting feature were unable to open any report from the Reports page.

  • Fixed an issue where time entries were being created as Billable even when the Billable checkbox was unchecked.

August 21, 2023

  • When disconnecting trust accounts in the Trust Accounting page in firm settings, firms will now be warned of how many clients are currently connected to the trust account. Furthermore, if a user goes ahead with the disconnect, each of those clients will now be disconnected from the trust account as well.

August 18, 2023

  • Added a scroll bar to the Matters tab of the Edit Rate Group window.

  • The option to activate Live Trust has been hidden. Live Trust is a feature that radically changes the way payments are created and mapped in QuickBooks Online, and it was causing some users distress when they activated it without realizing what it does. We've pulled it back for now while we review how we can make all of its functions explicit to users. Live Trust can still be activated by contacting us.

August 17, 2023

  • Fixed an issue where an expense synced into LeanLaw from QuickBooks would not be deleted in LeanLaw if a user deleted it in QuickBooks. Note: expenses that are in a LeanLaw draft or invoice will continue to be protected from deletion.

  • Fixed an issue where the time entry form that is automatically generated on the Time Entries page would not retain modifications made to the rate or amount from the previous time entry.

  • Fixed an issue where the user-level Working percentage could not be set to 0%.

  • Fixed an issue where a payment split across multiple users would sometimes allocate a penny less than the full amount of the payment, due to an inability to fairly split that penny between the users. From now on, the spare penny will be given to the last user.

  • Fixed an issue where recording a manual payment in LeanLaw would turn off Gravity Legal payment receipts.

August 14, 2023

  • Added the ability to filter by clients on the Billing page's Receivables overview.

  • Fixed an issue on the Ready to Bill page where your Practice Area filter preferences would be remembered if you left the page and returned to it, but the filter itself would appear blank. This caused incorrect data to appear if you then tried to select any other practice area from the filter.

  • Fixed an issue on the Rate Groups settings page where selecting Edit from the triple dot menu would show other rate groups instead of a list of users within the rate group.

  • Fixed an issue where the Show Matters Involving filter did nothing on the Expenses page.

  • Added Completion Based Fixed Fee support to the mobile application (only appears in firms which have this feature enabled).

  • Fixed an issue where using the "Make non-billable" function inside of a draft invoice would properly set the time entry's value to $0, but would not update its Billable quality throughout the rest of the product.

  • Fixed an issue where large batches of draft invoices would have formatting issues or be missing pages.

  • The Expenses page will now show what filters are being utilized on the page when it's loaded. Whenever it was loaded, this page would previously apply filters like "All Time" and "WIP" without making these filters explicit to the user. Now, users will see these presets when they load the page.

  • Fixed an issue where clearing the Practice Area filter in reports would not apply any change to the reported data.

  • Fixed an issue where LeanLaw custom fields weren't appearing on invoice memos.

  • Removed some special automation that would happen in invoices when write-down was enabled. Previously, if a user reduced or increased the amount of a line item while write-down was enabled, it would automatically apply a write-down to the time entry to make up the difference of the amount. This was causing some users to unintentionally apply write-downs. Adjusting the Amount will now simply change the rate to match it, just like it always has in firms without write-downs.

  • Fixed an issue where deselecting the step-down origination checkbox in Reports Settings wasn't prompting the user to save changes.

August 7, 2023

  • Changed the behavior of matter-level email overrides. Before, the email settings would override all email settings, including "CC on Responsible" and the CC and BCC QuickBooks settings. Now, only the settings in the client Info tab will be overridden.

  • As part of the above change, we've added a field for overriding the client level CC settings at the matter level.

  • Fixed an issue on the time entries page where creating multiple time entries for the same user on matters with different rates would sometimes not take on the rates of the newly selected matter.

  • Fixed an issue where the Payment Allocation export would fail while attempting to load data for non-LeanLaw invoices.

  • Fixed some issues related to database context pooling that caused some users to randomly receive "Something went wrong" alerts.

August 3, 2023

  • Changed the default filter settings on the Assign Payments page. Before, the page would load all payments for all time by default. Now, the filters for This Year and Not Assigned To a Distribution will be enabled by default. This will result in better performance on the page.

  • Fixed an issue where users not included on a matter would see nothing if they opened that matter in step-by-step invoicing.
