What’s new in LeanLaw this month?

Timeouts for account security

We've implemented a 24 hour session timeout period across the product. From now on, whenever a user goes 24 hours or more without taking any action in LeanLaw (actions include things like opening pages, beginning timers, etc.) the user will be logged out and redirected to our login page.

This small change is aimed at increasing your account security while being mindful that many of our users still need the ability to go idle for hours at a time while working on a case.

(Beta) Completion Based Fixed Fees

We're introducing a new way of creating fixed fees to streamline the billing process for fixed fee matters. This new feature empowers LeanLaw users to effortlessly track time entries associated with fixed fees on a matter. With the ability to create fixed fees that are completion-based, users gain unprecedented flexibility and accuracy in managing their billing processes.

The Completion-Based Fixed Fee Billing feature offers three key functionalities that transform the way legal professionals handle their billing:

  • Creating Completion-Based Fixed Fees: Legal firms can now create fixed fees that don't have a known end date from the start. This empowers legal professionals to adapt to the dynamic nature of their work, ensuring that fees accurately reflect the completion of tasks or projects. Instead of a date-based fixed fee, users can now create an "On-Completion" fixed fee that will remain hidden from Ready to Bill until your firm marks it complete.

  • Tracking Time Entries Against Specific Fixed Fees: LeanLaw's new feature allows attorneys and timekeepers to seamlessly track time entries against specific fixed fees, offering granular insights into resource allocation and facilitating more accurate billing. With this enhanced visibility, legal professionals can monitor progress and identify areas of improvement.

  • Flexible Allocation of Time Entries: Completion-Based Fixed Fee Billing enables attorneys and timekeepers to easily switch and assign time entries to different fixed fees. This capability ensures that billing remains accurate and aligned with the evolving needs of the legal matter.

COMING SOON: Rate Groups

LeanLaw's new Rate Group feature is designed to empower firms to efficiently handle the complexity of rate management, saving valuable time and streamlining workflows.
Managing rates in a firm with multiple attorneys has long been a complex and labor-intensive process. Manual work for common tasks such as opening a new client/matter, adding a new user, or updating firm rates yearly has proven to be time-consuming and prone to errors. Recognizing these challenges, our dedicated team has developed the game-changing "Rate Groups" feature to address these pain points head-on.
"Rate Groups" provides users with the ability to set standard groups of legal rates, which can be effortlessly applied to any time entered into the system. With this feature, firms can configure multiple rates and specify which standard rates apply to specific clients and matters, as well as define date ranges for the rates to be in effect. The result is a comprehensive and intuitive solution that simplifies rate management across the organization.

Key Benefits of "Rate Groups" include:

  • Streamlined Workflow: By automating common rate management tasks, such as setting individual rates for each user or updating rates for multiple matters, "Rate Groups" significantly reduces manual effort, allowing billing administrators to focus on more strategic activities.

  • Time Savings: The time-consuming process of updating rates yearly or adjusting rates for new clients/matters is simplified, enabling billing administrators to save valuable hours that can be redirected towards more productive endeavors.

  • Accuracy and Consistency: With standardized rate groups, firms can ensure accurate and consistent billing practices, minimizing errors and improving client satisfaction.

  • Enhanced Flexibility: "Rate Groups" offers the flexibility to configure and customize rates based on specific client requirements and date ranges, empowering firms to cater to individual client needs while maintaining efficiency.

Update history

As always, we’ve also been hard at work to squash bugs and improve the user experience. Here are the patch notes for our development.

July 27, 2023

  • Fixed an issue on the Expenses page where deleting an expense in QuickBooks could cause the page to fail to load.

  • Fixed a printing issue on the Expenses page.

  • Fixed an issue where LeanLaw emails would show a matter's trust retainer information even when frozen trust was active. Trust retainer information will now correctly only be added to emails when live trust is active.

  • Fixed an issue on the Manage Invoices page where, if an invoice failed to email at some point, but a user then tried again and successfully emailed the invoice, the invoice's email status would still appear as "failed."

  • The View Rates permission will now be ignored in step-by-step invoicing. This page now operates on the assumption that, if a user has been given permissions to invoice, their firm has no problem with them viewing rates. This fixes a conflict between those two permissions on the page which caused errors for users.

July 25, 2023

  • Increased account security by adding a 24 hour timeout to user sessions. What this means is that, if the user does not perform any action in the product in a period of 24 hours or more, they will be logged out and redirected to the login page.

  • Fixed an issue where users with all reporting permissions could not view the Period Report.

July 20, 2023

  • Fixed an issue where drafts with recurring fixed fees would sometimes fail to load, and sometimes create duplicate fixed fees.

  • Fixed an issue where selecting a practice area, clearing the practice area filter, and then selecting the same practice area would show data for a different practice area.

  • Fixed an issue where the Assign Payments page wouldn't show payments where the current user wasn't involved on the payment's matter.

July 18, 2023

  • The Invoice Email Settings page is now more lenient for email addresses with long domains.

  • Fixed an issue where the "Sign Up For Gravity Legal" button led to a nonexistent page.

  • Fixed an issue where a lack of the "Can Be Assigned to Fixed Fees" and "Can Be Assigned to Expenses" permissions would sometimes prevent users from creating or editing fixed fees or expenses.

  • Fixed an issue where users without the Billable Reports permission could see some Billable data from the Period Report, if they had permission to view the Period Report.

July 14, 2023

  • Fixed an issue that caused some clients to not appear when importing clients from QuickBooks.

July 13, 2023

  • Fixed an issue where some reports wouldn't load data if the viewer didn't have the "Access to Firm Setup" permission.

July 12, 2023

  • Fixed an issue preventing users from creating invoices in step-by-step invoicing if they had nonbillable time entries.

  • Fixed an issue where users weren't able to log in to LeanLaw via the Intuit login button.

July 11, 2023

  • Fixed an issue where time entries created for fixed fee matters could show a $0 value in the Fixed Fee Profitability Report.

  • Fixed an issue where attempting to email an invoice with a $0 balance would fail if the matter had an evergreen replenishment amount due.

July 10, 2023

  • Fixed an issue where the Client Contact report was missing phone numbers and addresses.

  • Fixed an issue with funky black borders on report buttons.

July 7, 2023

  • Fixed an issue where LEDES files wouldn't download for very large invoices.

July 6, 2023

  • Fixed the Time Entries’ page’s Time Period filter not accounting for user’s local time.

  • Fixed “Download data” not working.

July 5, 2023

  • Payment links now support updates made to invoices after their creation in LeanLaw, such as the addition of past-due interest line items.

  • Fixed an issue where firms with more than 1000 clients wouldn't see values in the Account Balance column of the Receivables report.

  • Fixed an issue on the Client Info page when saving changes where a green loading circle would endlessly spin and make it appear as though your changes hadn't been saved yet, even though a refresh would show they had been saved.

  • Fixed an issue where an odd character sequence in user initials would cause the Clients page to show no clients or matters.

July 3, 2023

  • Fixed an issue where deselecting the Include in Fixed Fee checkbox would cause a time entry to be billable with a rate of $0, instead of using the user's rate on the matter.

  • Fixed an issue where bills sent to QuickBooks through LeanLaw distributions would print with the firm's address, rather than the vendor's address.

  • Fixed an issue where users without the View Rates permission would see an error when attempting to edit a time entry, making it appear as though their edit hadn't saved.

  • Fixed an issue that caused the green loading bar at the top of the screen to be invisible.
