How to customize the invoice template in QuickBooks Online and in LeanLaw

This guide will walk you through how to prepare an invoice in LeanLaw. Watch the video or follow the step-by-step instructions below.

Step-by-Step Instructions

Setting up the Invoice Template in QuickBooks Online:

  1. Accessing Invoice Template

    1. Open QuickBooks Online and click on the settings gear icon.

  2. Navigating to Custom Form Styles:

    1. Under your company settings, locate and choose "Custom Form Styles."

  3. Opening Default Invoice Template

    1. Find the default standard invoice template and click on "Edit" to customize it.

  4. Design Tab Customization:

    1. In the design tab, explore various template styles.

    2. Add your logo, incorporate color, and modify fonts as desired.

  5. Focus on Content Tab

    1. Click on the "Content" tab to customize three sections of your invoice template.

  6. Customizing Top Section:

    1. Click on the edit pencil icon in the top corner to customize the top section.

    2. Modify company address, custom fields, and information to display on the invoice.

    3. Edit business name, add phone number, and adjust address details.

    4. Optionally, include your website in the invoice heading.

    5. Choose whether to display form numbers and form names (invoice number).

    6. Decide whether to show invoice terms and due date, using QuickBooks defaults or your own.

  7. Custom Fields Section:

    1. Configure optional custom fields to display on the invoice.

    2. Middle Section - Account Summary:

    3. Decide whether to show or hide the account summary, which includes balance forward, payments, and total amount due.

  8. Adjustments for LeanLaw

    1. Remove the product and service column to enhance spacing.

    2. Use "Edit Labels and Widths" to organize columns and provide ample room for descriptions.

  9. Bottom Section - Memo and Discounts:

    1. Add any memo or footer text with payment instructions as needed.

    2. Choose to display or hide discounts, considering it's a QuickBooks function.

  10. Finalizing Customizations:

    1. Click "Done" when you have finished customizing the template to your preference.

Additional Settings in LeanLaw (if applicable):

  1. In LeanLaw go to settings and navigate to "Invoice Presentation."

  2. Explore options such as displaying the attorney or timekeeper's name in the description.

  3. Consider adding subheaders to group and subtotal different categories like time, non-billable time, and expenses.

  4. Review other available options and observe the demonstration on the right side.

  5. Click "Save Changes" when satisfied with the additional settings.

By following these steps, you can efficiently customize your invoice template in QuickBooks Online, ensuring it meets your specific preferences and requirements.
