What’s new in LeanLaw this month?

Billing interface changes

With the recent additions of our email service and email logs, we found ourselves unable to fit key features anywhere into our old Billing interface. This month, we redesigned the Billing page to accommodate for more tabs in the future, and to achieve two immediate goals:

  • The Email Activity Log has been surfaced to the Billing page instead of being hidden in firm settings. Any user with access to general Billing pages can now view the firm's email log.

  • Distributions and Payments now have their own pages under Billing, this allows you to view all payments without needing to first visit the Distributions page.

AI generated Invoice Summaries

Like many companies, we're eager to explore ways to integrate AI into our product to improve your quality of life. As an experimental feature, Invoice Summary now uses the descriptions of all time entries, expenses, or fixed fees on an invoice to generate an approximate summary of all work.

As always, you can view the Invoice Summary on the QuickBooks tab of the Billing page. Click the three vertical dots, located on the right side of any invoice, and select Invoice Summary to see this feature in action.

As always, we’ve also been hard at work to squash bugs and improve the user interface. Here are the patch notes for our development.

December 30, 2022

  • Added a user permission for viewing Client Notes. Found in the Clients and Matters permissions, this will determine whether or not the Notes section in any client's Info tab is visible to the user, allowing for greater control over firm management.

  • Added a descriptive error for when a user uses LeanLaw's email service to send an invoice during a period where the firm has closed their books in QuickBooks. The email will still send to the client, but QuickBooks will report an error when we attempt to update the invoice's status in QuickBooks to Emailed. We now have an error message that informs the user of this situation instead of giving a generic error that could cause the user to resend their invoice.

December 29, 2022

  • Fixed an issue on the new Billing page where the time period filter wouldn't work in Drafts or QuickBooks.

  • Fixed an issue where a payment link could be created for an invoice even if something caused invoice creation to fail, causing a payment link to exist in Gravity Legal without any associated invoice.

  • Fixed an issue where email subjects wouldn't load on the email preview.

  • Fixed some broken formatting on the expense modal that's viewable when you save an expense as a template.

  • Fixed the placement of the "Partially Distributed" and "Partially Assigned" filters. These filters were previously on the Distributions page, but they're actually Payment filters. They've been moved to the Payments page.

December 23, 2022

  • Revised the Billing suite. Our new UI features a vertical navigation bar, surfaces the email activity log and Payments, and sets a foundation for more invoicing options.

  • Added a new calendar for some custom period filters. The new calendar is visible on the Expenses page and will highlight the range of all days captured in your selection.

  • Fixed an issue on the invoice email delivery settings page where enabling settings wouldn't flip their bubbles to the right.

  • Fixed an issue on the Billing & Rates tab of matters where, if you changed the rate of a user who was Responsible on the matter, saved your changes, and then changed the rates again, your rates would not be applied.

December 16, 2022

  • Added support for Auto Assign to Matters on our mobile app. Now, any user who has this permission enabled will be able to see all of the firms' matters on their mobile app, and whenever they create a time entry or expense, they'll be automatically assigned to the matter. To make sure you have the latest mobile version, swipe it closed and restart it!

  • Released the Billed by Originating report to all firms. This report is viewable by any user with permissions to view revenue reports, and focuses on comparing originator billed values against credits applied to the originator's works to review crediting practices.

  • Fixed an issue where LEDES codes wouldn't appear in dropdowns when assigning an expense from QuickBooks Online for the first time in a session.

  • Fixed an issue where the Invoice Presentation setting that adds user initials to expenses in drafts would not add or change a user's initials to the line item if the assigned user was changed within the draft.

  • Fixed an issue where By Responsible wouldn't show unassigned expenses.

  • Fixed an issue where users couldn't create expenses on the Expenses page if they had a client and matter filter applied to expense table.

  • Fixed an issue where payment allocation could change over time if an invoice had expenses and/or taxes on it and was paid in installments over multiple dates.

December 13, 2022

  • The Invoice Summary page has been integrated with OpenAI. The Invoice Summary window will now provide a very experimental, AI generated summary of the content on your invoice.

  • Fixed an issue where the Create Draft Invoices button on Ready to Bill would not create a draft if the draft would contain only nonbillable items.

  • Fixed an issue where some Products/Services from QuickBooks would not be visible in the Products/Services dropdown of step-by-step invoicing if the firm had an enormous amount of them.

  • Fixed an issue that caused a narrow box to appear in some dropdowns throughout the product.

  • Fixed an issue where selecting a matter on the Request Trust Funds modal would not automatically populate the client dropdown with that matter's client.

December 9, 2022

  • Added a Practice Area filter to the Ready to Bill page. This filter holds all of the same functionality and purpose as Practice Area filters elsewhere in the product, but its request comes from a firm who wishes to sort their matters into "practice areas" of billing periods like Quarterly, Monthly, etc.

  • Practice areas now sort alphabetically in their filter dropdowns.

  • Improved the performance of the Ready to Bill page by removing any requests for custom field data. Custom fields shouldn't be required or visible until a draft is created, so this shouldn't be missed by anyone.

  • Fixed an issue on the Ready to Bill page where if one draft invoice failed to be created, such as from a user attempting to create a draft with nothing on it, then all drafts the user was attempting to create would also fail.

  • Fixed an issue where scroll bars would still appear in the print preview of reports with "generic" in their url, such as all WIP, Billed, Collected reports.

  • Fixed an issue where the Expense Template dropdown and the LEDES code weren't being cleared from the expense creation modal when "Save and New" was used.

December 7, 2022

  • Slightly optimized some performance issues on the Expenses page. More is planned.

  • Slightly optimized the Compensation report and made it so that any firm with Referrals enabled will always show Expenses.

  • Fixed an issue in the Compensation report that could cause the report to crash.

  • Fixed an issue where scroll bars would appear when reports and draft invoices were printed.

  • Fixed an issue on the desktop app that caused Windows users to see a blank screen instead of a login page.

  • Fixed an issue where LEDES codes wouldn't appear for selection if the user created a time entry within a Draft invoice.

  • Fixed an issue where unallocated fixed fees would could the Compensation report to error and fail to load. This would occur if the firm checked any of the three settings in Reports Settings that allocate unassigned fixed fees again--this time, while Firm Share was the calculated value.

  • Fixed an issue where the "You have x Unassigned Expenses in QuickBooks" alert would appear in print preview while printing the Expenses page.

  • Fixed an issue where Expenses would show the incorrect client and matter names if the user viewing the expense was not assigned to the expense's matter.

  • Slightly changed the behavior of matter creation so that when a new matter is created, the matter opens to the Info tab instead of the Overview tab.

  • Fixed an issue where the Invoice Summary wouldn't load (viewed by clicking the triple dots of an invoice in QuickBooks).
