Release Notes: Duplicate time entry, responsible attorney allocation, WIP Detail report, and more

What’s new in LeanLaw this month?

Duplicate Time Entry

Previously, if you wanted create multiple time entries for a repetitive activity, you had to manually recreate the entry. Duplicate Time Entry copies all information from the selected time entry, replacing the date with today's date. Even if you wish to change the date or edit the description before saving, Duplicate Time Entry will save you time by serving as a template.

Responsible attorney allocation

If your firm allocates a percentage of a matter's revenue to its responsible attorney, you can now set this in LeanLaw. Setting a value in the Responsible Attorney Share will affect payment allocation details for each payment as well as your firm’s Revenue by Attorney report. Note that, like all revenue settings, any changes you make will apply retroactively and may change the numbers in previous reports.

To set this allocation, go to your firm’s Settings page and then click on Reports on the left sidebar, or just click this link to go directly to your firm's Reports Settings.

WIP Detail Report

You’re probably familiar with our Ready to Bill/WIP report, which provides a monetary summary of an attorney’s work and expenses yet to be billed across all clients and matters. The WIP Detail Report lists and describes all users’ unbilled time entries and expenses across the firm divided, categorized by the user who worked, with totals for each user and for all users combined.

Find this report in the Reports page, under the By User heading.

More expense control

You now have more control over your expenses with two new features:

Require user on expenses is a firm-wide setting that will require all expenses to have a user assigned at the time they’re created or imported into QuickBooks. For firms that want every expense to be assigned to a user, this setting will protect you from accidentally billing an unassigned expense.

We know many firms prefer to keep expenses unallocated, so this setting is left off by default. Activate it in the Firm Info page of Settings.

Expenses can now be assigned or reassigned after being billed. If you discover you accidentally billed an expense without assigning it, it’s no problem now! Just go to your Expenses page, find the expense (you'll need to set the Show Billed filter to Billed, if the expense has already been billed), open the expense, assign a user, and save.

This will update the entry and all reports associated with expenses to recognize the new user as the owner of the expense. Note that finalized invoices will not be affected by this change.

Administrative fees now report as services

If your firm uses administrative fees, you’ll now find all collected administrative fees in columns that include the word services, such as Collected Services. Because administrative fees aren't part of a user’s revenue, user-based reports (such as Revenue by Attorney) now include administrative fees and unallocated fixed fees in an Unallocated Services row. We believe this change more accurately represents administrative fees in reporting.

What’s next?

We have some exciting features being beta tested right now. Some firms are already trying out these features, but they’ll be available for all once we know they’re bug free. Contact our team if you’re interested in trying any of these beta features.

Public API

We’re developing a public API that allows the retrieval of bulk information from firms, such as client contact information, client and matter lists, and more. Developers can use this to securely integrate LeanLaw with other programs, like Sharepoint. The API is in closed beta; please contact LeanLaw if you're interested in exploring it.

As always, we’ve also been hard at work to squash bugs and improve the our interface. Here are the patch notes for this month’s development.

July 27, 2021

  • Added the Duplicate Time Entry feature.

  • Added a new column in user revenue reports for Responsible Attorney Share, which is visible only if the firm uses this feature.

  • Fixed the Practice Area filter on the Matter Activity report.

  • Fixed the Record Payment button on the Trust Accounting page to require at least one of the invoices be selected.

  • Removed an inactive Add Section button from draft invoices, for now.

  • Removed the Add Time Entry button from sections of draft invoices that shouldn't have time entries.

  • Fixed an issue where very long time entries would cause the Time Entries page to expand sideways and require scrolling.

July 20, 2021

  • Fixed an issue caused by the July 17 fix, where fixed fees were contributing twice to the Billed Total column and not at all to the Billed Services column.

  • Fixed some inconsistencies with “Billed” columns across all reports.

  • Fixed an issue causing the write-down checkbox to appear twice on the Reports Settings page.

July 15, 2021

  • Added the ability to assign and reassign expenses after they’ve been billed.

  • Added a feature that allows revenue to be allocated to the responsible attorney.

  • Added an Export button to billing pages with invoices.

  • Fixed an issue that caused the Billable by Client and Matter page to repeat results when switching user filters.

  • Made it impossible to enter a blank amount on draft invoice, which would cause a report to break.

  • Added a line break between the memo and the trust statement on invoices to clarify which is which.

  • Removed the recurring field from fixed fee templates to avoid confusion.

  • Fixed the date filter and responsible filter on the matter activity report.

  • Changed the client and matter filters on ready to bill to act as search filters and not immediately begin the invoicing process.

  • Fixed initials not showing up on invoices when adding time entries inside a draft.

  • Fixed the LEDES search filter on the Time Entries page to across all clients and matters

  • Added the ability to edit the Bill To field on draft invoices.

  • Removed Switch back to previous UI and fixed an issue where the Clients page wasn’t appearing on new trial accounts.

  • Fixed an issue with expenses not appearing when creating invoices.
