If you encounter the QuickBooks error message: "Validation Exception was thrown. Details: Business Validation Error: You cannot enter more than 100 characters in the billing_email field." when attempting to submit an invoice from draft to QuickBooks, it means that the email address entered in the billing email field exceeds the 100-character limit. This issue commonly arises when dealing with matter accounting and utilizing the "Override Billing Email" feature.

Why is There a 100-Character Limit?

The 100-character limit on the billing email field originates from QuickBooks Online. LeanLaw adopted these limits to ensure seamless data synchronization between LeanLaw and QBO. By mirroring QBO’s character constraints, we minimize sync issues when client data in LeanLaw is transferred to customer data in QBO.

Steps to Resolve the Issue:

  1. Verify the Billing Email Address:

    • Navigate to the Matter tab.

    • Click on QuickBooks within the matter settings.

    • Scroll to the bottom of the page and locate the "Email To" field.

    • Check if the email address listed exceeds 100 characters.

  2. Remove Unnecessary Emails:

    • If the email address exceeds the limit, remove any unnecessary or redundant emails to ensure it is within the 100-character constraint.

    • Click Save to update the changes.

  3. Refresh and Reprocess the Invoice:

    • Refresh your webpage to ensure the changes take effect.

    • Navigate back to the Draft tab.

    • Attempt to reprocess the invoice.

By following these steps, you should be able to successfully submit your invoice to QuickBooks without encountering the validation error. If the issue persists, consider reviewing the email formatting.
