Common Causes and Solutions:

  1. Check the QuickBooks Connector in LeanLaw:

    • Open the relevant client or matter in LeanLaw.

    • Navigate to the QuickBooks tab.

    • Click the QuickBooks Connector button to verify if the matter is correctly linked to an existing QuickBooks client account.

    • If the connection appears correct, proceed to the next step.

  2. Confirm Whether the Name Already Exists in QuickBooks:

    • A client name might already exist in QuickBooks as an entry for an expense, check, or vendor.

    • If you cannot find the name listed under "Customers" in QuickBooks, check the "Vendors" list.

    • If the client is not appearing under active accounts, the account may have been made inactive in QuickBooks. Locate the inactive account and reactivate it if necessary.

  3. Adjust the Name to Avoid Duplication:

    • If the client is set up as a vendor, you must either rename them in QuickBooks or modify their name in LeanLaw before resubmitting the invoice.

    • Example: If "Jane Smith" is already in QuickBooks as a vendor, you can change the name in LeanLaw to "Smith Jane" to avoid duplication.

Final Steps:

After making the necessary changes, try resending the invoice. If you continue to experience issues, consider refreshing the QuickBooks connection in LeanLaw or reaching out to support for additional troubleshooting.

By following these steps, you can efficiently resolve the "Name Already Exists" error and ensure seamless integration between LeanLaw and QuickBooks Online.
