Clients and Matters
Clients and matters in LeanLaw are sync’d up with customers and sub-customers in QuickBooks. The address/email information is sync’d across as well so that you only have to manage this information in one place.
Time entries are entirely managed within LeanLaw and they will be not be available as time entries in QuickBooks. LeanLaw creates line items on invoices based on time entries. Depending on your settings, multiple time entries might be combined into individual invoice items, or left out entirely for example in the case of fixed fee billing.
LeanLaw creates drafts invoices and allows you to do have a simple or more advanced invoice approval workflow. Once the invoice is ready, it goes to QuickBooks. You can still make changes to the invoice in QuickBooks (although you will do this rarely), and changes will be reflected back in LL including the balance and payment of the invoice so you can keep track of receivables.
Billable Expenses can be managed in either LeanLaw or QuickBooks or in both places. Expenses created in LeanLaw will be added as line items on invoices and accounted for on the “Billable Expenses” income account once in QuickBooks. Some expenses might be created from QuickBooks, for example, by marking items on credit card statements as billable to a client or matter. Those expenses can be added to invoices from within QuickBooks, including to invoices that are created in LeanLaw.
We setup accounts on the liability side with subaccounts for each client/matter so that you always have a clear picture of the transactions and balance for each client and matter. This information is stored entirely in QuickBooks with LeanLaw providing a window into the current balance and easy-to-use functions for recording deposits and payments. In addition, your retainer balance information is included in invoice memos to keep your clients up-to-date.
