How to export your LeanLaw matter list to Equitrac and import Equitrac expenses to LeanLaw

Equitrac is the software used by many printers and copiers. By exporting your LeanLaw matters into an Equitrac product, you can track how many pages you print for your matters. By importing the data from your Equitrac product back into LeanLaw periodically, you can create expenses for those copies in LeanLaw. Here's how you can use our Equitrac integration to ensure accurate cost recovery!


How to export data from LeanLaw to Equitrac


The Export Matters button will create a .csv "spreadsheet" file with all of your matters and matter IDs in LeanLaw to use in Equitrac. Here's how to do it.

1. Go to Expenses

In the main navigation bar, click the Expenses button to go to the Expenses page.

2. Click the Equitrac Import button

At the bottom of the filters bar, on the left side of the Expenses page, click the Equitrac Import button. This will bring you to the page where you can import or export your Equitrac data.

3. Click Export Matters

At the bottom of the sidebar, on the left side, click the Export Matters button. This will download a .csv file from LeanLaw with all of your matter IDs and matter names.

You now have a file of your LeanLaw data which you can upload to an Equitrac product for expense tracking! To get this file onto your Equitrac product, follow your product's owner's manual for uploading files.


How to import data from Equitrac to LeanLaw


1. Export your Equitrac data into a .csv file

LeanLaw requires an Equitrac-compatible .csv file. Follow the guidelines of your Equitrac product to export its expense data into a .csv file, then transfer it to your computer in order to prepare for the following steps.

2. Go to Expenses

In the main navigation bar of LeanLaw, click the Expenses button to go to the Expenses page.

3. Click the Equitrac Import button

At the bottom of the filters bar, on the left side of the Expenses page, click the Equitrac Import button. This will bring you to the page where you can import or export your Equitrac data.

4. Click Choose File

Near the top of the sidebar, on the left side, click the Choose File button. This will open your file explorer.

5. Select your .csv file

In the file explorer, find the Equitrac-compatible .csv file mentioned in step 1. Select the file and click open. This will prepare it to be uploaded into LeanLaw.

6. Click Prepare for Import

Near the top of the sidebar, on the left side, click Prepare for Import. This will upload your .csv file to LeanLaw, and LeanLaw let you know if it's compatible.

7. Click Next

You should now see an overview of the data from your .csv file on the page. If there are any incompatibilities, LeanLaw will let you know; to fix them, you'll have to edit the .csv file, filling in the areas highlighted red in LeanLaw. Once everything looks correct, click the Next button at the bottom of the page.

8. Click Import

Click the Import button. This will add all of the expenses from your .csv file to your LeanLaw Expenses, automatically assigned to the matters shown in the preview.
